The Institute of Languages affirms
its commitment to the privacy of the information provided by our clients.
We understand and readily accept the responsibility of secure custody
of client information. This is of utmost importance to us.
The following Privacy Policy Statement outlines our
internal policies, how we manage personal information within our organization
and reflects our adherence to the provisions of the Privacy Act 1988 both
in intent and procedure.
What information do we
collect?
Generally we collect information which includes name, address, contact
details, date of birth, gender, academic record, passport number, nationality,
visa status, intended further study and may include photographs. Where
applicable, supplementary information may be requested to meet your needs
with respect to your requirements for accommodation and/ or health cover.
Why do we collect this
information?
All collected information is necessary in the conduct of our business
as an educational institution. Information collected varies in accordance
with the particular needs of the educational program or course of study
conducted at the Institute of Languages that you have chosen to undertake.
Other than for the conduct
of education will your information be disclosed to third parties?
Information may be shared within NewSouth Global, the wholly owned educational
business unit of the University of New South Wales, UNSW itself and other
educational institutions for the placement and advancement of our student
client.
Further instances include when required by law, authorised
by law or assigned by your consent under the terms and conditions of acceptance
into an Institute of Languages program, or when imperative for your health
or safety. We undertake, without reservation, not to sell, rent or trade
your personal information.
How is the information
collected?
Our primary means of collection is the information provided by either
yourself or your appointed agent in applying for enrolment in an Institute
of Languages program or student support services that are available and
requested by yourself or agent on your behalf.
Is the information relating
to me accurate?
It is in our mutual interest that the information held is accurate and
up to date. We encourage any changes in your personal information to be
conveyed to us to allow us to amend your record accordingly. Should you
believe that any information we hold with regard to yourself is inaccurate,
not up to date or incomplete please contact us and all effort will be
made to re-establish or confirm the integrity of your personal information
held by the Institute of Languages.
How is the collected information
managed?
We store personal information in a combination of electronic and traditional
paper based files. Reasonable steps have been taken to ensure the confidentially
of the information you have provided and ongoing procedures are in place
to protect your information from misuse, loss, unauthorised access, modification
or disclosure.
When personal information is no longer needed and
passed any obligatory retention period, information is destroyed in accordance
with established UNSW procedures for the disposal of confidential material.
If I need to, how do I
access my personal information or register any concerns regarding the
use of that collected information?
You may lodge a request for a copy of the personal information that we
hold about you in accordance with our obligations under the Privacy Act
1988. A fee may apply. If we are unable to meet your request, in whole
or in part, you will be advised as to the basis of our decision.
